This Privacy Notice explains what personal information No Gaps UK CIC may collect, why we use it, when we may share it, how long we keep it and your rights.
Information we receive
When you contact No Gaps UK CIC or ask for support, we may receive personal information such as your name and contact details, your preferred language and whether you need an interpreter, information you choose to provide about your circumstances or support needs, information provided by another person or organisation making a referral on your behalf, and information needed to make or follow up a referral to another service.
We aim to collect only the information we need to understand your request and provide appropriate support.
How we use your information
We may use your information to respond to your enquiry, understand what support you are looking for, assess whether No Gaps UK CIC can assist, provide practical support and information, arrange language support where needed, make and follow up referrals to appropriate services, and keep appropriate records of the support we have provided.
Sensitive information
Sometimes you may need to tell us sensitive information about your circumstances so that we can understand what support you need.
We will only collect information that is relevant and necessary. Please do not send detailed personal histories, identity documents, medical records or other sensitive documents by email unless we have asked you to provide them through an appropriate route.
Sharing your information
We do not routinely share your personal information with other organisations.
Where a referral is appropriate, we will normally explain what information needs to be shared, with whom and why.
There may be limited circumstances where information needs to be shared without your agreement, for example where there is a serious safeguarding concern, a risk of serious harm or a legal requirement to provide information.
Interpreters
Where you need language support, we may arrange a professional interpreter. Only information necessary for the interpreter to provide the service will be shared.
How long we keep your information
We keep personal information only for as long as it is needed for the purpose for which it was collected and in line with No Gaps UK CIC's data retention arrangements.
Information that is no longer required will be securely deleted or disposed of where appropriate.
Keeping your information safe
We take reasonable steps to protect personal information from unauthorised access, loss, misuse or disclosure. Access to personal information is limited to people who need it for their work with No Gaps UK CIC.
